Cash flow reserve calculator
Caregivers get paid on your payroll schedule, but clients and payers pay later. This calculator takes your weekly billed hours, rates, burden, overhead, and payment lag, then shows the cash you must hold to bridge that gap. Enter your own numbers; nothing is pre-filled.
How to read the result
The bridge figure is your daily cost multiplied by the days you wait for payment. It is a floor. It does not cover slow-paying payers, disputed claims, or growth in hours. Add a cushion, and add hours in steps you can fund. The break-even line shows how many billed hours a week it takes for margin to cover overhead.
Shorten the lag
Every day you remove from the payment lag reduces the cash you need. Weekly billing, deposits for private pay, and clean documentation for payers all help. To plan a full opening budget around these numbers, Home Care Agency Blueprint walks owners through it as a paid program.
Costs vary by state. For state licensing requirements and fees, see the state licensing guides at starthomecareagency.com. We do not quote state fees on this site.

Common questions
What payment lag should I enter?
Use the actual terms from your payer or client agreement, plus the time you take to invoice. Private pay clients can often prepay or pay weekly; many payers pay on longer cycles.
Does the bridge include startup costs?
No. Add it to the total from the startup cost calculator.
What does break-even hours mean?
It is the billed hours per week at which your margin per hour covers your weekly overhead. If margin per hour is zero or negative, break-even is not possible at those rates.
